Objective

The objective of this page is to explain the difference between Staff and Employees in Hubdrive. This is important to know for correct license assignment.

The difference between Staff licenses and Employee licenses

In order to access the HR solution, the users need to have Hubdrive licenses assigned. Those licenses have a default security role embedded, which will define how much access and information the user can have.
The biggest distinction to point out here is the difference between Staff licenses and Employee licenses.
Staff License Employee License

The staff license does not grant a user access to the solution. The records of the employee are simply stored in the system, and they are managed by their Supervisor.
Also, Staff licenses don't need an underlying Microsoft License.

We recommend using staff licenses if your employees don't need access to the HR solution (e.g. for self-services), but you want to be able to maintain more employee records in the system.

The Employee license grants the user access to the system, according to their roles and functions that they will be using.
Some examples are:

HR Management Employee:
  • Access to Employee Self-Services
  • HR Management Supervisor:
  • Access to Manager Self-Services
  • HR Management Recruiter:
  • Access to HR Manager functionalities in the Recruiting area
  • HR Management Manager:
  • Access to HR Manager functionalities throughout the whole HR solution

    Hint

    To use Hubdrive, for Active Users (every license type, except Staff License), you need additional licenses from Microsoft. The reason is, Hubdrive is available as an app within the Microsoft Dynamics 365 Business Platform.
