Work with Exams from an Examiner´s view

Objective

Once the required employee(s) have set their Exam Status to 'Exam Requested', the Examiner then needs to generate an Exam event. When the exam event is complete, the Examiner can then enter and evaluate the Exam record.

Prerequisites

  • For employees to be able to take on the role of Examiner, they have to be assigned as Examiner to your Organization's account in the solution
  • Exam Template has been rolled out beforehand
  • Corresponding Events have been planned

Event Notification by Email
  • The training administrator schedules the Exam for Participants by generating an Exam Training Event
  • The Examiner receives the information about an upcoming exam via an Outlook invitation.
  • Clicking the link in the email will take you to the Event

Alternatively using your HR Solution as a starting point:

  • Employees start in HR HUB Employee Self-Services
    • In the lower left corner, switch from 'My Time & Leave' to Employee Self-Services
  • Supervisors start in HR HUB Manager Self-Services
    • In the lower left corner, switch from 'My Time & Leave' to 'Team Development'
  • Under Training, select
  • You will find there a view called 'Exams – Training Event Demand' in the dropdown hidden behind Active Exams
  • Select the required Exam record
  • Click on the 'Generate Event' button in the ribbon
  • Enter the information for the Exam Event in the form
  • Save
  • Using the 'Exams – Demand' grid, select the required employee(s) and select 'Rollout Training Event'
  • Under Training select Exams and select the view 'My Trainer Participation – Active Exams'
  • Open the appropriate Exam record(s)
  • After the Exam Training Event is complete, record the results by going to the Exam of the employee and recording the following
    • The % Achieved bar should be moved to reflect the percentage achieved by the Examinee
    • Passed button should be selected to 'Yes' if the Examinee has passed the Exam
      • When 'Yes' is selected, the field is locked and cannot be reset to 'No'
    • The Passed on field show be set to the date the Examinee
  • Save & Close

Hint

Where the Examinee has not passed the Exam, there are now two options:
  1. The Examiner selects 'Deactivate' in the upper area and the Status 'Not accomplished' is chosen, the Exam is then deactivated. The exam must then be rolled out again for the trainee.
  2. The examiner changes the Status Reason back to 'Exam Requested', this means the Exam is, once again, available under the View 'Exam - Training Event Demand' for the training administrator to generate an Exam Training Event accordingly.
