Create additional Travel Destinations (optional)

Objective

Travel Destinations are included 'Out of The Box' with their respective Per Diem Rates, Calendars, and Leave Management settings. HR Managers will not be required, unless absolutely necessary, to enter all of that information themselves. Travel Destinations are only required to be added for Per Diem rates, should an employee be required to travel to that destination for business.

This guide shows HR Managers how to create a Travel Destination that is not available 'Out Of The Box' for Hubdrive. This enables HR Managers to create and define Travel Destinations from within the solution. Creating a Travel Destination is only required where the destination is not already available in Hubdrive.

  • Start in HR HUB
  • In the lower left corner, switch from Overview to Settings
  • Under Administration, navigate to Travel Destinations
  • Click on +New
  • Travel Destination: enter a country name 
  • Valid From: Select a date from which the Travel Destination is valid
  • Validity Remark: If required, enter a remark regarding the Travel Destination being created
  • Country of Origin: Enter the country which is to be considered the Primary Work Location
  • Travel Type: Select from the drop down list if the travel is Domestic or Abroad
  • Day of Travel or > x h: Determine the amount reimbursable for a Day of Travel
  • Minimum Travel Hours: Determine the minimum total hours to be considered as reimbursable travel
  • Full Day/24h: Determine the total hours to be considered as reimbursable for a full day
  • Overnight Allowance: Determine the amount reimbursable for an Overnight Stay 
  • Currency: Select an appropriate reimbursement currency
  • Record maintained by: set this to Self-Maintained
  • Save & Close

Hint

  • Travel Destinations based on countries of origin are available 'Out Of The Box' in Hubdrive, these have rates included for meals and overnight stays.  HR Managers will only be required to create Travel Destinations where necessary.
  • The 'Country of Origin' is the departure destination for the employee, with the Travel Destination being the Area, Country, or Location that the employee is required to travel to as part of the Business Travel. 
  • Data for Travel Destinations can be adjusted by HR Managers to meet company requirements, such as meal rates, or overnight stay rates. Make sure to set adjusted data from 'Solution Provider' Maintained to 'Self Maintained' to ensure your adjustments will not be overwritten by system updates.
