Best Practices

In this section we would like to introduce you to best practices for typical, frequently recurring HR tasks. Does an employee leave the company, is the year drawing to a close, or is an employee transferred or promoted? Here you will find our suggested processes. These processes are of course only one way to tackle the tasks.

1. An employee leaves the company

One thing that cannot be avoided in any company is the departure of employees. It does not matter whether the employee is dismissed, resigned or retires due to age. The processes are almost identical.

The process can be divided into 3 phases

  1. The termination
  2. The transition period
  3. The end

Phase 1: The termination

As soon as the notification is received, you can open the employee's digital personnel file and enter the necessary data in the section HR Management Details in the sector Resignation & Dismissal

Phase 2: The transition period

Now create an offboarding project to plan a regulated dismissal. You create this project like an onboarding project, only the tasks contained in it will differ.

Phase 3: The end

Open the employee's digital personnel file and deactivate it by clicking Deactivate in the menu bar

 

Confirm the deactivation of the employee.

This also deactivates the contract and all related functions of the employee.

If the employee had an open-ended contract, you should open it and execute the Define End Date dialog in the menu bar.

Now remove the employee's license assignment. To do this, navigate to the Settings and open the License Assignments

 

Select the appropriate license assignment(s) and delete them by clicking Delete in the menu bar

 

Finally, you can inform your system administrator that he can deactivate the user of the retired employee
