Setup of OKR-related Read and Write privileges

Objective

Out-of-the-box, you can assign three security roles:
"Hubdrive OKR CxO", "Hubdrive OKR Supervisor" and "Hubdrive OKR Employee". As usual, the security roles define access and authorizations within the OKR environment.
The security roles also define the standard process.

When you assign the OKR license to an employee for the first time, all 3 OKR security roles are assigned to this employee. This means that you must check and adjust the employee's security roles once so that all view and write permissions are set correctly. This tutorial shows you how to do this.

Prerequisites

  • To use the OKR functionality, you first need an OKR license key. If you don't have one yet, please visit the Customer Portal and contact us.
  • To use the OKR functionality, your Admin user needs an Office 365-License, because automated emails are sent in the module. Please make sure such a license has been assigned to your Admin correctly during the system setup (see here). More information on the emails in OKR can be found here.

  • Start on admin.powerplatform.microsoft.com/
  • Log in with your Admin credentials
  • On the left side, click on Environments
  • Select the environment your HR for Dynamics is installed on
  • Click on Settings in the top bar
  • Click on Users + permissions
  • In the displayed list of links, click on Users
  • Here, you can see all users in your solution
  • Click on the first user you want to assign to (or remove from) a security role Hubdrive OKR CxO, Hubdrive OKR Supervisor or Hubdrive OKR Employee.
  • A site map opens
  • Click on Manage Roles
  • A list with all available security roles opens
    • Look for Hubdrive OKR CxO to assign a C-Level security role
    • Look for Hubdrive OKR Supervisor to assign a Management-Level (Supervisor) security role
    • Look for Hubdrive OKR Employee to assign an Employee-Level security role. There are two versions of OKR Employee - public and private. The difference is that with public your employees have full read-privileges to all Key Results and KPIs. With private, your employees only have access to their own Key Results and KPIs.
  • Click on the desired role and click on Save
  • The system user now has the selected security role assigned.
  • Repeat this for all users who should work with the OKR module.

Hint

  • Hubdrive OKR CxO grants full permissions within the OKR functionality. This user is responsible for creating Strategic Goals and Objectives.
  • Hubdrive OKR Supervisor is responsible for editing Objectives and creating Key Results and KPIs for their team.
  • Hubdrive OKR Employee is responsible for editing Key Results and KPIs assigned to them.
