1. What are Candidates entitled to through GDPR

Since the inception of GDPR by the European Union, data protection requirements in HR have increased dramatically. Especially in recruiting, organizations personal data is collected. However, access to this data and usage of this data is strictly regulated by GDPR. The following aspects are amongst those that need to be taken into consideration:

 

Deletion of Data

If requested by the candidate, each and every information about this candidate needs to be deleted in the system.

 

Rectification of Data

If requested by the candidate, data collected about this candidate needs to be rectified in the system.

 

Restriction of Processing

Candidates have the right to restrict the processing of personal information about them in the system.

 

Access to Data

Candidates have the right to know what data has been collected about them by the company in question.

2. Data Protection with and without HR for Dynamics

Data Protection is a big topic in HR for Dynamics. Especially in Recruiting, a lot of data is generated, which may be stored throughout the organization if not organized in a structured and centralized way:


Without a centralized data repository:

  • will mails be sent back and forth throughout the organization
  • will documents be sent throughout the organization
  • will potentially confidential information be shared throughout the organization


Therefore, all data has to be deleted manually:

  • in every inbox of people involved,
  • in every outbox of people involved, as well as 
  • on all local data storages of people involved.

  • will only Links be sent back and forth throughout the organization
  • will data be safe, due to a security model in the background
  • will personal information never be sent out, as you can just sent a reference link to the file


This automatically ensures, that:

  • Inboxes and outboxes do not have to be searched for personal data for deletion or anonymizing purpose
  • nobody gets access to applications, who is not supposed to have it (according to the security model)
  • all data can be managed, deleted and changed at one single repository
