Prepare dismissal & resignation
Objective
One thing that cannot be avoided in any company is the departure of employees. It does not matter whether the employee is dismissed, resigned or retires due to age. The steps an HR manager has to take in the solution are identical.

Prerequisites
- Employee's Digital Personnel File has been created
- You are HR Manager and have a valid license assigned
Click Through
- Start in HR HUB
- Click on Employees
- Open the file of the desired employee
- Go to the tab HR Details
- Set the Prepare Dismissal button to Yes
- This button does not trigger any automation, and is just to signalize to the HR Manager that the process of dismissal/resignation has begun.
- Add the Submission Date
- This is the day the employee communicates the leave, or if it's a company decision, the day the HR Manager starts the process.
- Add the Submission Reason
- Add the reason why the resignation/dismissal was initiated. This is a free text field.
- Add the Release of Duty date
- The release of duty indicates the date when the company releases the employee from their activities.
- Add the Exit Risk
- This is used to measure how the exit of the employee would affect the company.
- Select if the Employment Terms were extended or not
- Select the Submission By
- Indicates if the process was initiated by the Employee, Employer or Mutual
- Add the Last Work Day
- This is the last day the employee actually is at the workplace.
- Add the Effective Date
- This is the last valid day for the Employment Term, before it is terminated. When the effective date is filled, it also sets the employee out of the payroll.
- Save & Close
Hint
- By filling the Last Work Day, this employee will also appear in your Deadline Dashboard as soon as the resignation is imminent.
- When the employment term is set to out-of-payroll, this does not mean that the employee is inactive. The HR Manager still needs to set an end date for the employment term, and later deactivate the employee.
