Employee self-service: Request leave based on overtime

Objective

In HR for Dynamics, it is possible for employees to convert their overtime into leave.
This page will describe how employees can request leave based on overtime.

This functionality is only available if it is supported by your organization.

Process

Employee
Works extra hours and accumulates overtime
Employee
Requests leave based on overtime
Employee
If a substitute has been named in the leave request, wait for their acceptance
Substitute
Accepts the substitution
HR Manager
Approves the leave request

Click Through

  • Start in HR HUB Employee Self-Services
  • Go to the Employee Cockpit
  • Click on Create New Leave Request
  • Select the Absence Type: Overtime
  • Add the period from and until
  • Select if it is an all-day vent or not
  • Save as Draft
  • Check if the data is correct
  • Add a substitute (if this is required by your organization)
  • Click on submit
  • If with substitute, wait for substitute acceptance and Supervisor approval
  • If without substitute, wait for Supervisor approval

Hint

  • You will be notified via email once your leave request has been approved or denied.
  • The approval can be done by an HR manager or by the supervisor of the department.
  • If the self-approval process has been enabled by the HR manager, the leave will automatically be approved.

Tips & Tricks

If you were not able to request leave based on your overtime as described above, please contact your HR department and have them check the following:
  • The absence type Overtime has been enabled for the employee
  • Time account configuration has been done
  • Necessary system data (Time summaries) have been created (manually for first use, after that automatically by the system)
  • The employee has a valid Employment Term
  • The Time Account "Overtime" has been added to the employee's Employment Terms
  • All users involved have valid licenses assigned
