HR Manager: How to manually correct time stamps

Objective

This page describes how HR Managers can correct attendance details, in case an employee creates a wrong entry or forgot to clock out.

Prerequisites

  • There's at least one wrong attendance detail

Click Through

  • Start in HR HUB
  • Under Time & Attendance, click on Attendance
  • Change the view to Active Attendance with "Correction Required"
    • You can change a view by clicking on the drop-down arrow next to the title of the displayed list.
  • Double click on the desired entry
  • In the table attendance details on the right, you can see which entry requires correction
  • Select the attendance detail with "correction required"
  • Click on deactivate in the upper ribbon
  • Choose the appropriate option when deactivating an employee's attendance record:
    • Inactive: Select this option if you want the system to recalculate the employee's attendance after deactivation.
      • If the employee's first time stamp of the day is still active, the recalculation will occur.
      • The time stamp will no longer appear in the attendance list once deactivated.
    • Archived: Select this option if you do not want the system to recalculate the employee's attendance.
      • The time stamp will remain visible in the attendance list, even after deactivation.
  • Create a new attendance detail with the correct time stamp
  • To do so, just click on + New Attendance detail in the table, select a Type and time, then Save & Close
  • Save & Close

Hint

  • Please keep in mind that attendance details can be added and changed, not attendances. If the employee adds an entry there, for legal reasons, this entry will be stored in the system.
  • If an employee forgets to clock out in the evening, the system will automatically create an 'End Work' attendance detail at 11:59 p.m. and set it to "Correction required" (Exception: Shifts). You can adjust this attendance detail as described above.
  • There may be cases where the employee adds an incorrect attendance detail (e.g., they clock in to work two hours after actually starting because they initially forgot). In this case, the system will not display the "correction required" warning. If this happens, go to Attendance (Left side Menu), select the desired entry, then in the Attendance Details table (right hand side) deactivate the attendance detail in question and create a new one.
  • Time Stamps in the HR solution will always be displayed based on the time zone settings of the user who is currently viewing the record. In case HR Manager and Employee are working from different time zones, the HR Manager will see their Employee's start time "translated" to their own time zone. The Employee will see their own time stamp in their time zone.
