Supervisor: How to manually correct time stamps

Objective

This page describes how supervisors can correct attendance details, in case an employee created a wrong entry or forgot to clock out.

Prerequisites

  • An employee has a wrong attendance detail

Click Through

  • Start in HR HUB Manager Self-Services
  • Go to Dashboards
  • Change the view to HR Supervisor Dashboard T&A via the drop-down next to the Dashboard name
  • On the right, you find the area Active Attendance with "Correction Required"
  • Double click on the entry
  • On the right, you find attendance details
  • Check the box for the wrong attendance detail 
  • In the ribbon for attendance details, click on the three dots and select Deactivate
  • Select the desired status reason to deactivate
    • Inactive: Will recalculate the employee's attendance after deactivation, if and as long as the first time stamp of the day is still active. Time stamp will disappear from the attendance list if deactivated with this status reason.
    • Archived: Does not recalculate the employee's attendance after deactivation. Time stamp will still show up in the attendance list if deactivated with this status reason.
  • Create a new attendance detail with the correct time stamp
    • To do so, just click on + New Attendance detail in the table, select a Type and time, then Save & Close
  • Save & Close

Hint

  • Please keep in mind that attendance details can be added and changed, not attendances. If the employee adds an entry there, for legal reasons, this entry will be stored in the system.
  • If an employee forgets to clock out in the evening, the system will automatically create an 'End Work' attendance detail at 11:59 p.m. and set it to "Correction required" (Exception: Shifts). You can adjust this attendance detail as described above.
  • There may be cases where the employee adds an incorrect attendance detail (e.g., they clock in to work two hours after actually starting because they initially forgot). In this case, the system will not display the "correction required" warning. If this happens, go to Attendance (Left side Menu), select the desired entry, then in the Attendance Details table (right hand side) deactivate the attendance detail in question and create a new one.
  • Time Stamps in the HR solution will always be displayed based on the time zone settings of the user who is currently viewing the record. In case supervisor and employee are working from different time zones, the supervisor will see their employee's start time "translated" to their own time zone. The employee will see their own time stamp in their time zone.
