Prepare 360° Feedback Reviews
Objective
The objective of this guide is to instruct HR Managers on the distribution of 360° Feedback Reviews.
Process

Identifies the requirement for 360° Feedback Review

Creates 360° Feedback Review
HR Manager
Distributes 360° Feedback Review to relevant employees
Employee
Co-workers provide Feedback, Reviewee provides self-evaluation
HR Manager
Finalizes 360° Review after feedback has been given
Prerequisites
- At least one Review Template (Target Review or Evaluation Review) has already been created
- 360° Reviewers are assigned to the Reviewee
Click Through
- Start in HR HUB
- Under Talent Management, click on Review Distributions
- Click on + New
- Prefill All Employees: Unless required, leave the 'Prefill All Employees' box unchecked
- Distribution Type: Select 360° Feedback
- Plan Distribution On: Select the date the Review is to be distributed on. From this date on, you can add employees to the feedback from this page.
- Select the Type of Review Template
- Same Template for all: Use this if all employees are being reviewed regardless of their Job Profile, or position in order to evaluate all employees against a set criteria.
- Template by Job Profile: Use this if all employees are being assessed by a common Job Profile.
- Select Template: Select a previously created Review Template
- Due Date: Enter a date when the review is due to take place
- Save
- Employees
- Click on the three dots in the table and select Add Existing Employee
- Select Employee(s) for the review
- Click Add at the bottom
- Depending on the number of employees, it may take a few seconds until they show up in the list.
- Areas
- Add an area (optional)
- An Area can be added as per organizational requirements, or, as an additional identifier for the employee undergoing review.
- Click on the three dots in the table and select Add Existing Area
- Look for records by typing the first letters
- Select an area
- Click Add at the bottom
- Add an area (optional)
- Departments
- Add a department (optional)
- A department can be added as per organizational requirements, or, as an additional identifier for the employee undergoing review.
- Click on the three dots in the table and select Add Existing Department
- Look for records by typing the first letters
- Select the required department
- Click Add at the bottom
- Add a department (optional)
- Job Profiles
- Add a Job Profile (optional)
- A Job Profile can be added as per organizational requirements, or, as an additional identifier for the employee undergoing review.
- Click on the three dots in the table and select Add Existing Job Profile
- Look for records by typing the first letters
- Select the required Job rofile
- Click Add at the bottom
- Add a Job Profile (optional)
- Save
- Send the process to the Next Stage
- The process should not be set as 'Finished' until all feedback has been received
- The assigned 360° reviewers are now being asked to provide their feedback. To check how many of them have already provided feedback:
- Click on the Drop Down arrow in the Distribution area of the ribbon
- Select the calculator icon next to reviews distributed
- Recalculate
- Distributed total should be displayed from 0 to total employees involved in providing review feedback
- Wait until all added employees have provided feedback inside the 360° feedback review
- When all feedback has been provided, deactivate the record by clicking Finish
Hint
- Selecting 'Finish' will deactivate the record, therefore, all feedback must be completed with all processes required being completed before selecting 'Finish':
- Employee self-evaluation
- Peer evaluation
- Supervisor/Manager evaluation
Recommendations
- The Review Record should not be finalized until all participants have added their review input and set their individual records as 'complete'.
Result
After entering all data and distributing the review, the added employees are asked to give feedback within the 360° feedback review.
Tips & Tricks
If you were not able to prepare and distribute 360° Feedback Reviews as described above, please check the following:
- Digital Personnel Files for the employees to be reviewed have already been created
- Departments have been created
- Job Profiles have been created (optional)
- Areas have been created (if you use others than those delivered out-of-the-box)
