Can I get your solution as an unmanaged solution?

No, we provide our solution only as a managed solution.

As a Microsoft Certified ISV we provide our solution always as a managed solution to be compatible with all Microsoft updates and maintenance procedures. This is not possible with an unmanaged solution.

System Requirements?

The system requirements for Hubdrive are the same as all Microsoft Power Apps. You can find more information on this here.

Browser Windows don't open?

Make sure to disable the pop-up blocker in your Browser.

How do I upload the license?

You can find a tutorial on how to add a license to your system here.

Nothing happens after the license was uploaded?

License is faulty. Please contact support and provide them with your Environment's Unique Name. You can find a tutorial on where to find the Unique Name of your Environment here.

Can I use Hubdrive in a hosted environment, too?

To always support the latest technology, the Hubdrive solutions are completely Microsoft Cloud based. Therefore, partner-hosted or on-premise environments are not supported.

How long does the installation take? And how complicated is the installation process?

The installation process is not complicated at all. Simply follow the tutorial steps in our Learning Center to install the solution.

Following those steps takes 3-5 Minutes. After that, the installation itself takes a few hours, depending on the performance of your system. You can just let the installation run in the background and work on other stuff in the meantime.

How can I select the language packs I want to use?

You need to select the languages you want to use in your Environment before installing the HR solution. You can find a guide on how to do this here.

Hubdrive supports English, German, and French throughout the whole HR solution. Also, for Employee Self-Services functionalities, Spanish is supported.

Where can I find the Unique Name of my Environment for the license key?

Where can I find my Microsoft Tenant ID?

Where do I get Support?

For all enduser questions ("how does this work") we provide an extensive knowledge base in the Learning Center. Please check there for hundreds of tutorials on best practice usage of Hubdrive. Most likely you will find the answer to your enduser question there.
Alternatively, you can also ask your trusted solution partner, if you booked the respective services.

Upgrade FAQ's

Do I need to do anything to protect our own specific customizations before importing the solution?

Usually, our installation and update procedures ensure you customizations are safe. But because of the default behavior of the Power Platform, it is possible that some customizations may be overwritten during the install of our solution.

To ensure that this will not happen, please back up customizations by performing the following steps:

1. Create an unmanaged solution.
2. Add all entity customizations to this unmanaged solution.
3. Publish all customizations.
4. Export the solution and save as a backup.

Do I need to uninstall the installed Solution first before upgrading to a new Rollup Update?

No. Under no circumstances should the solution be uninstalled, as all data will be lost. Every rollup update can easily be installed on top of an existing version.

Documentation of recent changes to the solution can be looked up in the current Release Notes.

Do I have to upgrade my installed Solution to the newest Rollup Update every time?

It is highly recommended, as every new Rollup Update includes great new functionalities, bugfixes and technical updates to ensure a stable HR solution inside the Microsoft Power Platform. As per our terms and conditions, you are entitled to technical support for the newest two rollup versions. For example, with the latest release being Rollup Update 43, technical support is available for Rollup Updates 42 and 43. Customers on older Rollup Versions are kindly asked to update their system.

Working with Hubdrive

Which Browsers can I use to work with Hubdrive?

Since Hubdrive is based on the Power Platform, all Browsers compatible there can be used for the HR solution. You can find more information on this here.

Where can I learn how to work with Hubdrive?

Can I store documents in Hubdrive?

Yes, you can easily add documents to an employee's digital personnel file as well as to most other records, for example Trainings, applications, and many more.

How complicated is data maintenance, e.g. if a new employee starts and needs to be added to Hubdrive?

Maintaining data is very easy and intuitive and can be done quickly. For the most common scenarios Hubdrive even offers automations, so you yourself don't have to do anything at all.
For example, after processing an application in the Recruiting module, the already existing Applicant record is turned into an Employee record if the application is closed with the status "Hired".

If an employee starts in your company who has not been processed via the Recruiting module, you can easily create a file for them. Check this tutorial to see how simple it is.

I work for a big company and there's always a lot of records. Is there any way to edit multiple records at once?

Yes, you can mark multiple records by clicking on the first, holding 'Shift' on your keyboard, then clicking on the last entry you want to mark (Screenshot). Alternatively, you can also mark all entries inside a list by using the checkmark on top (Screenshot).

When multiple entries are marked, you can click on "Edit" in the top ribbon to edit them in bulk. Whatever field you fill in the bulk edit option will be updated for all marked records, so take care to not change the record name, unless you aim to have them all be called the same!

I have this one Dashboard I use all the time, can I pin it or mark it as a Favorite somehow?

Yes, you can pin Dashboards. In the top left inside your App navigation, directly below 'Home', you can open an overview of your most recently opened pages. When hovering over the entries, you see a "pin" symbol. Clicking on this will add the page to your Pinned pages.

Apart from that, you can also add Dashboards as Personal Preference or as Default. Please follow this tutorial to do so.

I would like to change the settings for the first day of the week, where can I find this setting? How can I adjust which week counts as the first calendar week in my system?

I accidentally entered a wrong Start Date for an employee in their file and now the field is locked, what do I do?

Please follow this tutorial to change the Start Date after creation.

Can I assign multiple Skill Grades to a Skill at once?

Yes, you can use a Flow for that which will save you some time in configuration. If you want to learn more about how to do that, take a look at this tutorial.

I'm a supervisor and my employees' time stamps are sometimes shown differently to me than to them. Why is that?

Make sure you are all working from the same time zone and the time zone settings in the HR solution are correct for all of you. Time Stamps in the HR solution will always be displayed based on the time zone settings of the user who is currently viewing the record. In case supervisor and employee are working from different time zones, the supervisor will see their employee's start time "translated" to their own time zone. The employee will see their own time stamp in their time zone.

The option to show my departments' and/or employees' hierarchy graphically is no longer there?

The Hierarchy View has been deprecated by Microsoft in a recent Update. If you still want to use this feature, you can find a tutorial on how to re-enable it here.

First Aid for common issues

I've imported the solution but I can't use any of the functions. I always get a message saying I have insufficient rights.

Please ensure that the user you're using has a valid license assigned which covers the functionality you intend to use and you've assigned the necessary security roles.

When I try to access the solution, it says I'm "not a member of this organization"?

This can happen if you are logged in to a user in your browser who does not have access rights for Hubdrive. Please log out, then log in with the correct credentials. You can find a tutorial for this here.

When I open a data entry, nearly all fields appear "read-only" or disabled.

There may be two reasons for this behavior. Firstly, please ensure that the user you are using has a valid license assigned which covers the functionality you intend to use and you have assigned the necessary security roles. Depending on the assigned security roles, there are different forms available.

The second reason for this could be the so-called role-based forms. Depending on the security roles of your user, you may have several different forms. The form with the 'read-only' fields is the form for Employee users (if they have access at all). You can change the form by using the dropdown menu directly below the form's title.

When I try to access a specific area I get the message "Error: This feature is not included in your license model"?

The message indicates that some of your chosen functions are not included in your user license.
Please check which license is assigned to your user (Settings – License Assignments).

Whenever I try to do something, I get an error message that says "HRLIC [number]"?

This error message informs you that something is not working because of your system license. Please refer to this table to determine which type of license error it is.

I get an error message that says "ISV code reduced the open transaction count"?

This error message means that whatever issue you are encountering is not a Microsoft Plugin Error and needs to be investigated by our technical support. Please follow this tutorial to retrieve the relevant Plugin Trace Logs from your system, then go to the Customer Portal and create a Ticket to send the Logs to our Support Team.

Something in my Solution (Time Accounts, Leave Entitlements, …) is not calculated correctly anymore after I changed something. What do I do?

You can manually trigger a recalculation for many elements in the system. After manual changes, sometimes this has to be done to make sure the value calculated from something you changed is updated correctly. This tutorial shows you how to recalculate Time Accounts. The "recalculate" option is also available in some other areas (e.g. for Leave Entitlements) and it works the same way there.

I got an error message with a long number that says someone does not have necessary security privileges. How do I find out who the affected user is?

Customizing FAQ's

Do I have to have programming skills to customize Hubdrive?

No, a lot of elements inside the Hubdrive HR solution can easily be customized without any programming knowledge, for example fields and forms, views, business rules, and more. Check out the Beginner's Customizing section in our Learning Center for tutorials on many parts of the HR solution which can be adjusted without any programming skills.

Is it possible to add some fields in my HR solution and change the arrangement of the existing form fields?

Yes, Hubdrive is highly customizable, and adding fields or changing arrangements on existing form fields is very easy.

I need a specific Dashboard that is not included in the Standard Solution - can I create additional ones?

Yes, you can easily create new Dashboards by yourself, design them to your needs and add them to the solution. You can find a tutorial on how it works here.

Is it possible to adjust rights for security roles (e.g. for granting more/less rights to the Supervisor role)?

Yes, you can change the rights for the security roles delivered with the solution. Please be careful to not grant too broad access to users, as to not cause issues in regards to data protection.
We recommend getting back to your IT administrator or implementation partner to make sure that all changes are done in the right way and don't have dependencies which impact other functionalities.
